A maintenance playbook you can actually keep

Monitoring is useless if nobody looks at the graphs. Pair short weekly reviews with seasonal deeper checks—especially before OS upgrades, travel, or finance-month closes when downtime hurts most.

  • 1Monday glance (60 seconds): confirm no new critical alerts, note highest temperature peak from the prior week, skim realloc/pending deltas on NAS or workstation scratch disks.
  • 2Monthly backup drill: restore one random project folder from backup to a temp path—prove restores work, not just backup job “success” badges.
  • 3Quarterly enclosure hygiene: re-seat SATA cables, label USB chains, dust filters, and re-run short self-tests when drives crossed summer heat or shipping.
  • 4Before you RMA: export SMART text, capture screenshots, and attach power-supply notes—warranty teams move faster with reproducible evidence.

Escalation ladder (when a metric wiggles)

  1. Level 0 — Observe: log the value, compare to your baseline file, ignore one-off spikes during known heavy tasks.
  2. Level 1 — Verify path: swap cables, try another port, rule out USB power sag on 2.5″ enclosures.
  3. Level 2 — Backup freeze: treat disk as suspect until full image or file backup completes; pause defrag/GC torture tests.
  4. Level 3 — Test & plan: schedule extended self-test windows, budget replacement, migrate hot data first.
